How to Complete the Z83 Form Correctly in 2026
Applying for a government job in South Africa often requires more than simply sending your CV.
For many national and provincial Public Service vacancies, applicants must complete the official Z83 Application for Employment form and submit it according to the instructions in the vacancy advertisement.
A mistake as simple as forgetting the vacancy reference number, leaving an important section incomplete, using an outdated form or failing to sign the application can affect your application.
The Department of Public Service and Administration (DPSA) states that applications for Public Service vacancies must use the new Z83 form that became effective on 1 January 2021. Applicants must also indicate the vacancy reference number and ensure that their application reaches the advertising department before the closing date.
This guide explains how to complete the Z83 form correctly in 2026, section by section.
Z83 Form 2026: Quick Overview
| Information | Details |
|---|---|
| Form | Z83 Application for Employment |
| Purpose | Applying for advertised South African Public Service posts |
| Current version | New Z83 effective from 1 January 2021 |
| Number of pages | 2 |
| Issued by | South African Government / DPSA |
| CV usually required | Yes |
| Vacancy reference number | Required |
| Signature | Required |
| Initials | Required on the form |
| Application destination | Department advertising the vacancy |
| Application deadline | As stated in each vacancy advert |
| Application fee | None |
The official form says its purpose is to help a government department select candidates for an advertised position and that applicants should complete it completely, accurately and legibly.
Who Should Use a Z83 Form?
The Z83 is used by people applying for advertised positions in South Africa’s Public Service.
Government vacancies may include positions such as:
- Administration Clerk
- General Worker
- Cleaner
- Human Resource Clerk
- Registry Clerk
- Finance Clerk
- Driver
- Secretary
- Personal Assistant
- Inspector
- Officer positions
- Professional posts
- Management positions
Not every public entity uses exactly the same application system, so always read the vacancy advertisement.
Some government departments now use eRecruitment systems where Z83 information may be captured electronically.
Where to Download the Official Z83 Form
Applicants should use the official government version.
The DPSA provides both the normal and editable versions of the current Z83.
Download the Official DPSA Z83 Form
You can also find the Z83 through the official Public Service Vacancy Circular page:
DPSA Public Service Vacancy Circular and Z83 Forms
The official DPSA page currently lists:
- Practice note on the Z83
- New Z83 form
- Editable New Z83 form
- Weekly Public Service Vacancy Circulars
Important: Use the Current Z83 Form
The old Z83 was withdrawn.
Public Service vacancy instructions continue to state in 2026 that applicants should use the new prescribed Z83 form effective from 1 January 2021. Using the wrong version can result in disqualification.
Check that the form says:
Effective 01 January 2021
near the top.
What You Need Before Completing the Z83
Before you start, have the vacancy advertisement in front of you.
You will need information including:
- Exact job title
- Government department
- Vacancy reference number
- Closing date
- Application address or email
- Your ID details
- Contact information
- Qualifications
- Work history
- References
- Updated CV
Do not complete the Z83 from memory if you can avoid it.
Copy the job title and reference number exactly from the vacancy advertisement.
How to Complete Section A: The Advertised Post
Section A identifies the job you are applying for.
The official Z83 asks for:
- Position for which you are applying
- Department where the position was advertised
- Reference number
- When you can start or how much notice you need to give your current employer
Position for Which You Are Applying
Write the exact position title.
For example:
Administration Clerk
Do not simply write:
Government job
or
Clerk
if the advertisement gives a more specific title.
Department
Write the department advertising the post.
Example:
Department of Employment and Labour
Reference Number
This is extremely important.
Example:
HR4/4/8/123
Use the exact reference from the vacancy advertisement.
DPSA specifically instructs candidates to indicate the relevant reference number in their applications.
Availability
If you are unemployed, you could state something appropriate such as:
Immediately
If currently employed, state the notice period you need to serve.
How to Complete Section B: Personal Information
Section B contains your personal and statutory information.
Your details should correspond with your official ID or passport. The official Z83 specifically says personal details must match the applicant’s identification documents.
You will be asked for information such as:
- Surname
- Full names
- Date of birth
- ID number
- Passport number where applicable
- Race
- Gender
- Disability status
- Citizenship
- Nationality where applicable
- Work permit information for non-South Africans
Take your time with this section.
Name and Surname
Use the same names shown on your South African ID.
Do not use nicknames.
Date of Birth
Enter your date of birth in the format requested by the form.
Identity Number
Write your correct South African ID number.
Double-check every number.
Passport Number
South African applicants do not normally need to provide a passport number merely because that box appears on the form.
The passport information is relevant to non-South African applicants.
Answer the Yes/No Questions Truthfully
Section B contains several important questions.
These include whether you:
- Have a disability
- Are a South African citizen
- Have been convicted or found guilty of a criminal offence
- Have a pending criminal case
- Have been dismissed for misconduct from the Public Service
- Have a pending disciplinary case
- Resigned while disciplinary proceedings were pending
- Were discharged or retired from the Public Service under certain conditions
- Conduct business with the State
- Are a director of a business dealing with the State
Do not deliberately hide relevant information.
The declaration at the end of the Z83 states that false information can lead to disqualification or disciplinary action if the applicant is appointed.
Criminal Record Questions
Do not automatically assume that answering Yes means you should abandon your application.
The official form states that a criminal record is considered in relation to the nature of the job and relevant security and disciplinary requirements.
Answer truthfully and provide details where requested.
Business With the State
The form asks whether you conduct business with the State or are a director of a company conducting business with the State.
Answer honestly.
If the answer is Yes, provide the requested information.
The form also asks whether you would relinquish such interests if employed in the Public Service.
Total Years of Experience
You will see spaces for:
Private Sector
and
Public Sector
Indicate your actual years of experience.
If you have never worked in the Public Service, do not invent experience.
Professional Registration
Some professions require registration with a statutory body.
Examples may include certain:
- Health professions
- Engineering occupations
- Legal professions
- Social service professions
If the advertised occupation requires professional registration and you have it, provide the requested details.
If it does not apply to you, follow the vacancy and form instructions appropriately.
Current government vacancy guidance recognises that this field may legitimately be left blank when an applicant’s occupation does not require such registration.
How to Complete Section C: Contact Details
Section C asks for:
- Preferred language for correspondence
- Preferred method of communication
- Contact details
Communication methods shown on the form include:
- Post
- Fax
- Telephone
Use Contact Details You Actually Check
Your cellphone number and email address must be correct.
Government departments may use them to contact shortlisted applicants.
Before submitting your Z83, check your telephone number digit by digit.
Professional Email Address
Use an email address such as:
rather than an informal nickname if possible.
How to Complete Section D: Language Proficiency
Section D asks you to list South African official languages and rate your ability as:
- Good
- Fair
- Poor
You need to indicate your ability to:
- Speak
- Read or write
Be truthful.
Example
| Language | Speak | Read/Write |
|---|---|---|
| English | Good | Good |
| isiZulu | Good | Good |
| Sesotho | Fair | Fair |
You do not need to fill every column if you do not speak that many languages.
How to Complete Section E: Formal Qualifications
Section E asks you to provide qualifications from highest to lowest.
The form requests:
- Name of school/technical college
- Qualification obtained
- Year obtained
- Current studies, where applicable
Example for a Matric Applicant
School: Example Secondary School
Qualification: National Senior Certificate
Year: 2025
Example for an N6 Applicant
Institution: Tshwane South TVET College
Qualification: N6 Human Resource Management
Year: 2026
Then list Matric below it.
If You Are Currently Studying
Use the space provided for:
Current study – institution and qualification
Do not say you have completed a qualification if you are still studying.
Can You Write “See Attached CV” in Section E?
Government recruitment guidance recognises that the Z83 has limited space.
For Sections E, F and G, applicants sometimes write:
Refer to CV
or
See attached CV
This can be acceptable provided that the attached detailed CV contains all the required information. If the information is missing from both the Z83 and CV, an application may be disqualified.
A safer approach is to complete as much of the Z83 as possible and use your CV for additional detail.
How to Complete Section F: Work Experience
Section F asks for:
- Employer
- Position held
- Starting date
- Ending date
- Reason for leaving
The Z83 also specifically says to attach a detailed CV.
Example
Employer: ABC Retail
Position: Sales Assistant
From: 01/2025
To: 06/2026
Reason for leaving: Contract ended
Keep dates consistent with your CV.
What If You Have No Work Experience?
Do not invent employment.
For vacancies requiring no experience, having no previous employment does not automatically disqualify you if you meet the advertised requirements.
Your CV can instead highlight relevant:
- Education
- Skills
- Volunteer work
- Projects
- Training
Previous Public Service Employment
Section F also asks whether there is any condition preventing your reappointment if you previously worked in the Public Service.
This question must be answered where applicable.
Current Public Service vacancy guidance specifically warns applicants that questions about conditions preventing reappointment under Part F need to be answered.
How to Complete Section G: References
Section G asks for:
- Reference name
- Relationship to you
- Telephone number during office hours
Possible references include:
- Current supervisor
- Previous manager
- Lecturer
- Teacher
- Volunteer supervisor
Choose people who genuinely know you in a professional, educational or responsible capacity.
Ask them for permission before listing their details.
The Declaration: Do Not Forget This Section
At the bottom of the Z83 is the declaration.
You confirm that the information in your application and attachments is complete and correct.
You must provide:
- Signature
- Date
The official form states that each application should be signed and initialled and warns that failure to sign may result in disqualification during selection.
This is one of the easiest mistakes to avoid.
Before submitting, check:
Did I sign it?
Did I date it?
Did I initial where required?
Do You Need to Sign an Editable Z83?
If a department requires a signed Z83, simply typing information into an editable PDF does not remove the need to follow the signature instructions.
Check the vacancy advertisement and submission requirements carefully.
Current departmental vacancy notices repeatedly state that the Z83 must be fully completed and signed.
Do You Need Certified Documents in 2026?
This is an area where applicants frequently become confused.
For many current Public Service advertisements, applicants initially submit:
- Completed and signed Z83
- Detailed CV
Certified copies of qualifications, ID and other supporting documents are then requested from shortlisted candidates. Current 2026 vacancy circulars continue to use this approach.
However, the exact vacancy advertisement remains important.
The South African Government’s general employment guidance says departments may request additional documents depending on the application instructions.
Therefore: always follow the specific advert.
If it says:
Z83 + detailed CV only
send those.
If it specifically requires another document at application stage, follow that instruction.
Do Not Automatically Attach Every Certificate
Adding documents that were not requested does not necessarily improve your application.
Read the vacancy’s NOTE or APPLICATIONS section carefully.
It should explain:
- What documents are needed
- Where to send the application
- Whether applications are online
- Whether email applications are accepted
- Closing date
- Reference number
Foreign Qualifications
Applicants with qualifications obtained outside South Africa may need them evaluated by the South African Qualifications Authority (SAQA).
Current Public Service vacancy guidance places responsibility on applicants with foreign qualifications to obtain the appropriate SAQA evaluation.

How to Find Government Jobs That Use the Z83
The main official source for national and provincial Public Service vacancies is the Public Service Vacancy Circular.
DPSA states that the circular is normally published weekly except during December.
As of September 2026, DPSA is continuing to publish new 2026 vacancy circulars.

How to Submit a Z83 Application
There is no single submission method for every government department.
Applications can be accepted through:
- Hand delivery
- Post
- Department eRecruitment portal
- Online government recruitment system
Always use the submission method stated in the vacancy.
Example
If the advertisement says:
Applications must be submitted via eRecruitment
do not email the Z83 unless the advert also allows email applications.
If it says:
Applications: Private Bag X123, Pretoria
follow those instructions.
Submit to the Advertising Department — Not DPSA
This is important.
Although DPSA publishes the Public Service Vacancy Circular, applications should normally be forwarded to the department where the vacancy exists.
DPSA specifically says enquiries about a particular advertised post should also be directed to the advertising department rather than DPSA.
Apply Before the Closing Date
Your application must reach the relevant department by the closing date.
DPSA’s directions tell applicants to ensure applications arrive on or before the applicable deadline.
Avoid waiting until the last minute.
If applications close at a particular time, that deadline matters as well.
Common Z83 Mistakes That Can Cost You an Opportunity
1. Using the Old Z83
Use the version effective from 1 January 2021.
2. Forgetting the Reference Number
Copy it exactly from the advert.
3. Applying for the Wrong Position
Make sure the job title matches the advertisement.
4. Leaving Required Sections Blank
Complete applicable fields carefully.
5. Forgetting to Sign
A missing signature can cause serious problems with the application.
6. Not Initialling the Form
Follow the instructions printed on the form.
7. Giving a Wrong Cellphone Number
HR cannot contact you if your details are incorrect.
8. Providing False Information
The declaration makes you responsible for the accuracy of your application.
9. Sending the Application to DPSA Instead of the Employer Department
Follow the address or portal in the advert.
10. Missing the Deadline
Late applications are commonly rejected.
11. Forgetting the CV
Current DPSA directions require applicants to provide details of training, qualifications, competencies, knowledge and experience through the Z83 and/or detailed CV.
12. Using One Z83 for Several Different Jobs Without Changing Section A
Every application must match the specific vacancy and reference number.
Should You Use Black or Blue Pen?
If completing a printed form by hand, the most important requirement is that your writing is clear and legible.
Do not use pencil.
Avoid:
- Scribbling
- Tippex where possible
- Difficult handwriting
- Crossing out large sections
If you make major mistakes, using a fresh copy is often better.
Can You Complete the Z83 on Your Phone?
The DPSA provides an editable version of the form, but filling PDF forms can be easier on a computer.
If using a phone:
- Check that every field saved correctly
- Reopen the document after saving
- Make sure information is visible
- Check that pages are complete
- Ensure required signing requirements are satisfied
Do not assume the form saved simply because you typed into it.
Can You Use the Same Z83 for Multiple Jobs?
You can use the same blank template, but each application must be tailored to the individual vacancy.
Section A will usually change because each vacancy can have a different:
- Job title
- Department
- Reference number
Your CV should also be adjusted to highlight skills relevant to the particular job.
Simple Z83 Example
Suppose you are applying for:
Position: Administration Clerk
Department: Department of Social Development
Reference: DSD/ADMIN/2026/01
Section A could be completed as:
Position: Administration Clerk
Department: Department of Social Development
Reference Number: DSD/ADMIN/2026/01
Availability: Immediately
Then complete the remaining sections using your own genuine personal information.
Never copy another person’s ID, qualifications, work history or references.

Frequently Asked Questions
What is a Z83 form?
The Z83 is South Africa’s prescribed Application for Employment form used when applying for many advertised Public Service positions.
Which Z83 should I use in 2026?
Use the new Z83 that became effective on 1 January 2021.
Is there a new Z83 specifically for 2026?
No separate 2026 replacement is currently listed by DPSA. The official DPSA vacancy page continues to provide the form effective from 1 January 2021.
Must I attach my CV?
Yes, a detailed CV is required for many Public Service applications and DPSA’s directions expressly refer to supplying full particulars through the form and accompanying CV information.
Must I submit certified copies immediately?
Many current government vacancies request a completed Z83 and detailed CV initially, with certified supporting documents requested from shortlisted candidates. However, always follow the exact advertisement.
Must I sign the Z83?
Yes. The official form requires a signature, and failure to sign can result in disqualification.
Do I need to initial the Z83?
The official form instructs applicants to initial the application as well as sign it.
What happens if I forget the reference number?
This can make it difficult to identify which vacancy you are applying for. DPSA specifically requires applicants to indicate the vacancy reference number.
Can I write “See CV”?
It can be acceptable in sections with limited space if the attached CV actually contains the required information.
Where do I send the Z83?
Send it according to the application instructions in the vacancy advertisement.
Do not automatically send it to DPSA.
Can I use the Z83 for municipal jobs?
Not every municipal or public-entity vacancy uses the Z83. Follow the specific employer’s application instructions.
Can I get a Z83 from a government department?
Yes. The South African Government says the form can be downloaded online or obtained from national or provincial government departments.
Do I pay for a Z83?
No application fee is required simply to obtain the official Z83 form.
Be cautious of anyone selling “guaranteed government job applications.”
Final Advice
Completing a Z83 correctly does not guarantee that you will get a government job, but completing it incorrectly can unnecessarily damage an otherwise suitable application.
The most important rules are simple:
Use the current Z83.
Read the vacancy carefully.
Use the correct job title and reference number.
Answer required questions truthfully.
Attach the detailed CV requested by the advertisement.
Sign and initial the form.
Send it to the correct department.
Apply before the closing date.
Before submitting any application, compare your completed Z83 with the vacancy advertisement one final time.

Editorial and Verification Note
This guide was checked against the current:
- Department of Public Service and Administration Z83 form
- DPSA Public Service Vacancy Circular instructions
- South African Government Public Service employment guidance
- 2026 government vacancy notices
The official Z83 available from DPSA remains the new Z83 effective from 1 January 2021.
Application requirements can differ by department, so the instructions in the specific vacancy advertisement should always be treated as the final application requirements.
